With the health and well-being of our employees, property owners, and business partners in mind, the POA of Hilltop Lakes, Inc. is implementing some adjustments to ‘normal operations’.  Some changes are the result of Governor Abbott’s Executive Order and others are based on the decisions/recommendations of federal, state and other governing bodies monitoring the impacts of COVID-19.  Below is a list of SOME of the actions (either already in place or in progress).  We will continue to monitor the federal, state and local recommendations and requirements and will make adjustments going forward as appropriate.

·        Welcome Center (key items – some others may be posted in the lobby):

o   Will remain open, but we ask that you limit visits to the WC to those absolutely necessary. 

o   A ‘No Loitering’ sign will be posted to ensure visitors are limited to those with business to conduct.

o   Payments for maintenance fees – payments ‘in person’ will need to be dropped in the box in the parking lot.  Credit card payments can be made over the phone or online at Hilltoplakes.com.  Additionally, property owners can convert to ACH (automatic draft) for maintenance fees by completing the appropriate form that is available by e-mail or can be picked up in the lobby.

o   Vendors/suppliers who personally deliver invoices must drop them in the box in the parking lot.

o   Ice will not be available for purchase.

o   Coffee will not be available in the lobby.

o   Employees handling money, credit cards or checks will be using gloves.

o   Welcome Center employees have implemented additional cleaning procedures to ensure their areas are sanitized more frequently than under ‘normal’ circumstances.

·        Golf Pro Shop (key items, some others will be posted at the Pro Shop)

o   Will remain open, but some services will be limited or not available.

o   No food/drink sales.

o   Counter will be cleared so items can not be handled before purchase.

o   Property Owners will scan their own cards to check in

o   Golf Cart Rentals – one person per cart – key contact areas on carts will be sanitized after each use.

o   A ‘No Loitering’ sign will be posted to ensure groups do not gather in the Pro Shop.

o   Employees handling money, credit cards or checks will be using gloves.

·        Post Office remains open, following federal guidelines and implementing any changes based on instruction from Normangee.

·        The Community Center, Lodge (all rooms), Teen Center, and Gym are closed for public use. 

·        Pilot’s Lounge – limit number of people inside to 4 or fewer

·        Motel – reservations will continue to be taken for property owners.  However, use of other rooms (i.e. community center) for group activities is not permitted until further notice.

·        Pool – no current action needed as it is closed for the season at this time.

·        Campgrounds and Stables will continue normal operations – just need to avoid gatherings of more than 10 people.

·        Golf Course:

o   No events/activities involving gatherings of more than 10 people

o   No MGA, WGA, LGA tournaments until further notice

o   Groups of up to five that tee off together are not restricted – should follow guidelines posted at the Pro Shop

o   Water coolers are being removed from the golf course

o   Ice machine will not be available for use.

o   Some changes on the golf course to reduce potential exposure (i.e. don’t handle the flag stick) are posted at the Pro Shop.

o   Be sure to see limitations of Pro Shop (bring your own snacks/drinks and ice if you will need any of these during your round of golf)

·        No restrictions on use of other outdoor amenities (tennis courts, playgrounds, parks, burn pile, etc.) – other than avoiding gatherings of more than 10 people.  Be aware that these facilities are ‘use at your own risk’.

Events/Activities:

·        Regularly scheduled Board of Directors Meeting set for March 26 is postponed – board will reconvene once an effective means to conduct an Open meeting, while honoring the governor’s executive order,  is established.

·        Hilltop Spring Beautification Day is cancelled (was set for March 28).

·        Hilltop Lakes Rabbit Run 5K will be held ‘virtually’, rather than on-site (was set for April 11).

·        Eggstravaganza Event (all associated activities/vendor sales) is cancelled (was set for April 11).

·        Committee meetings are put on hold (unless held virtually), with the exception of ACC, Finance Committee & Board of Directors

Additional actions are underway to improve communications during this time of limitation on face-to-face meetings.  You may have already seen a notice regarding the need to update e-mail addresses.  As we make progress with these items, we will communicate.

Please note that each these actions is being taken as result of consensus of the Board of Directors.  While employees or volunteers may be communicating additional information and/or implementing & enforcing these decisions, they are acting at the direction of the board.  If you have concerns or questions, please express them respectfully – employees or volunteers will do their best to answer or direct you to a supervisor or board member who can assist.

The Board of Directors appreciates the support of the community as we take actions believed to be in the best interest of our employees, property owners, and business partners.  As most are aware, information on the situation with COVID-19 changes daily, if not hourly – we will make adjustments based on new information and communicate decisions as quickly as we can.

In an effort to improve communication from the Board of Directors to Property Owners, we will be utilizing e-mail more frequently.  This e-mail is being sent to the e-mail address that you have registered with the POA.  If you would like to receive e-mails at a different e-mail address, please notify us by either replying to this e-mail with your name and the e-mail address you would like to use OR by calling the Welcome Center (936)-855-2222 and providing your name and preferred e-mail address.
